Companies are becoming more global and connected, to survive and prosper you cannot postpone the modernization and digitization of your business. You need to be adapted to the mobile environment, have an online presence, use online marketing tools and social networks. If you don’t do it, others will and they will stay with your customers. Don’t waste time and catch up. Luckily, today we bring you one of the best open source solutions for businesses, Odoo.
Until now, the high licensing costs of this type of software were only available to large companies. Good news! With Odoo you will be able to do your accounting, manage human resources, control your inventory in real time, and generate highly visual reports. Running your company will be much more agile and efficient. Free software solutions have drastically reduced costs without diminishing functionality.
What is Odoo and what is it for?
Odoo is an open source business software system that meets the needs of companies of any size and sector.
Odoo Versions Is It Free?
Odoo was born as open source software, and as of 2015 2 editions coexist, the perfectly functional Odoo Community version, and the Enterprise version with added value services that have a cost. Whether Community or Enterprise, Odoo has positioned itself as the open source leader for companies, standing out for its high functionalities, its ease of use and all this being free (Community) or with very low costs (Enterprise). Where is it written that powerful software has to be complicated to use?
The first important consideration is that Odoo is perfectly functional in both versions and that whether you decide to implement one or the other version you will not have any problem in carrying out the workflows of your company. Enterprise adds more sugar to the already spectacular features of the Odoo Community.
The first differences, we see them in the support by Odoo as a manufacturer; the community version is supported and updated by the community, of which Odoo is also actively part. While the Enterprise version is maintained and supported directly by Odoo. This implies that access to new versions and support is faster in Enterprise, in addition Odoo offers hosting on its servers in this case, and not in the community.
The Odoo mobile App is included in the Enterprise version, but you always have the option of entering your Odoo Community through the browser, and the usability is quite good.
TIP: If you do not mind not being up to date, you do not need a mobile application and you are able to manage your servers, you can choose Odoo Community.
In its latest versions, Odoo has placed a lot of emphasis on integrating the Web part with the rest of the company’s applications (billing, accounting, inventory, etc.). The Community version contains all the most important functionalities of Odoo, including the new e-learning platform for Online courses. E-bay and Amazon integrations to automate sales on these sites are only available in the Enterprise version.
TIP: Use Community if you don’t plan to sell on Amazon or Ebay, otherwise use Enterprise.
All the basic sales and billing functionalities are included in the Community version as well as the CRM. Odoo has decided to include in the Enterprise version certain premium functionalities that will increase your productivity, for example integrating IP VOICE in your CRM, the functionality of signatures, subscriptions, and rentals.
TIP: Choose community if you are a company that does not sign too many contracts (Lawyers and the like to abstain), your business is not based on periodic subscriptions or on property or real estate rentals.
Perhaps this is where the biggest difference lies. Accounting is not included in the Community version, although billing is. Odoo found that small businesses were not using Odoo’s internal accounting as its advisers kept it externally. In addition, the accounting standards are different in each country, which makes it very difficult to maintain a Community Global version. Because of this, a significant effort was made to develop one of the best accounting software available today, and we worked with local partners to bring out the most important locations.
Although the Community version does not come with the basic accounting module, there are country-specific developments made by the Odoo community that allow complete accounting to be carried out also in the Community version, but without the support of Odoo.
On the other hand, the community version does not have access to some of the more complex Odoo applications that are PLM and part of MRP, both related to the manufacturing process (If you don’t know what it is, it’s probably because you don’t need it; -))
TIP: Choose community if your advisor takes you the accounting and the declarations. Invoicing both purchases and sales can be used in community. If you are a Manufacturing company we recommend the Enterprise version.
You will be able to carry out basic human resources tasks with the community version. For example, you can manage your staff data, open selection processes, manage vacations, and expenses. In the Enterprise version, functionalities have been added that improve productivity, but do not alter the basic operation. For example, in the Enterprise version, expenses can be digitized with an OCR system, while in community they have to be entered by hand. The Community version also does not have the functionality of surveys and evaluations to the employees, nor the payroll.
TIP: Choose community if your company does not have a human resources department that wants to carry out periodic surveys or evaluations of employees and the payroll is done by an external advisor.
In terms of productivity systems, the biggest difference is in the integration of work hours, and task planning. Internal communication in Community is less powerful than in Enterprise, but much more advanced than many proprietary software on the market. In community you can Chat, Discuss, set a Calendar and create Notes. However, you will not have the App to add hours of work to a project, very useful for professional services, advanced planning of activities by teams and employees.
TIP: Choose Community if your company does not have many employees to coordinate in a project and you do not invoice your clients by the hour.
The Community version has access to the functionalities of E-mail marketing, sending SMS and surveys. The Marketing Automation functionalities, and the management of social networks are only available in Enterprise.
TIP: Choose Community if your company is not extremely active in Marketing.
In summary, we can see that the majority of small Spanish companies can access one of the most powerful business software on the market without paying for licenses. A tool that would be valued at tens of thousands of euros a few years ago and that thanks to the community is completely free. If your company becomes more complex, the Enterprise version is a great option for a small license per user (€ 10 / user and month) and paid content for installed applications (Between € 6 – € 48 per application for the entire company and month) gives you access to its full potential. In addition, Odoo offers free hosting for Enterprise, taking into account that with the Community version you will have to manage the hosting on your part, as soon as you need the additional functionalities you may be interested in requesting an Enterprise budget from one of Odoo’s partners.
